How to Take a Deposit for an Event Booking

Short answer

Take 25–50% as a non-refundable booking deposit at the moment the date is confirmed, collected online with the quote rather than promised for later. State plainly that the deposit holds the date and is applied to the total, and set the balance due date in the same document — a date held without a deposit is not a booking, it's an intention.

Collect it with the quote, not after

The deposit should be payable from the quote itself. A deposit you promise to invoice next week is a booking that can evaporate over the weekend.

Don’t just label it. Explain it in one sentence: the date comes off your calendar and can’t be resold at short notice. Customers argue with policies they don’t understand and accept ones they do.
