Vending machine operator

Vending Route Billing Software (2026)

Short answer

A vending route has two billing jobs — monthly commission statements paid out to host locations and recurring service invoices billed to subsidized accounts — and both need the machine ID, period, and reading on them. ShowTheReceipts ($15/mo) saves each location's commission rate or service fee, issues the monthly document on a recurring schedule, and takes card or ACH on the accounts that pay you.

How we picked

Entry-plan prices as published in 2026, taken from each vendor's own pricing page or a recent third-party summary. Judged on the solo operator's monthly paperwork — commission statements per machine, recurring service invoices for subsidized and micro-market accounts, and per-location rates — not on machine telemetry hardware, planogram optimization, or warehouse pick-and-pack systems for a multi-truck operation.

What each document needs

Commission statement: machine ID, period, meter reading, gross sales, rate, payout, payment date.

Service invoice: placement or rental, restocking visits, product subsidy, micro-market fee, repairs outside normal wear, removal or relocation.

Reference the placement agreement

Machine ID, placement date, term, exclusivity, power and damage responsibility. Account managers change; your machine stays in their building.

Frequently asked questions

Can it issue monthly commission statements to my locations?

Yes — each location's commission rate is saved, and the monthly statement carries the machine ID, period, gross sales, rate, and calculated payout. A host who can't see the math assumes the machine is doing better than it is, so the reading belongs on the page.

Can it bill subsidized and full-service accounts too?

Those bill as recurring monthly invoices — placement or rental fee, restocking service, product subsidy, micro-market service fee — kept entirely separate from the commission statements you pay out. Mixing the two documents confuses every host you have.

Does it replace machine telemetry?

No — telemetry hardware and planogram tools are their own category and you'll keep whatever reports your sales. This handles the paperwork side: per-machine statements, recurring service invoices, saved rates, and getting paid on the accounts that pay you.

Do I need route software as a one-truck operator?

Not the enterprise kind. A solo operator needs saved per-location rates, a monthly statement that shows the math, recurring invoices for subsidized accounts, and payment collection — warehouse pick-and-pack and multi-truck dispatch solve a scale problem you don't have.
