Esthetician Invoice Template

Short answer

An esthetician invoice should list each service by name and duration, itemize add-ons and enhancements, show any package or series credit applied, list retail products separately from services, and state the deposit and cancellation terms. ShowTheReceipts saves those as reusable service lines so a facial with two add-ons and a product sale bills in seconds and takes card on the spot.

Header block

  • Your business name, license number where required, phone
  • Client name and contact
  • Appointment date, time, and duration
  • Invoice number and payment method

Service lines

  1. Primary service — facial, peel, dermaplane, waxing, body treatment
  2. Add-ons / enhancements — LED, extractions, masks, high-frequency
  3. Consultation or patch test — where charged
  4. Package or series credit applied — with sessions remaining
  5. New-client or bridal trial rate
  6. Travel fee — mobile visits only

Retail and extras

Retail productsSeparate lines, taxed as goods

GratuityOptional line, never auto-added

Deposit taken, cancellation window, and no-show fee, stated in one short line. A booked chair is the inventory in this business, and the footer is where you protect it.

What not to do

  • Don’t bill a package as an unexplained lump — show the credit and the remaining count
  • Don’t mix retail into a single service total
  • Don’t auto-add gratuity for an independent service; offer it
  • Don’t leave the cancellation policy verbal

Frequently asked questions

Do independent estheticians actually need invoices?

Yes — for packages, series, corporate or bridal work, and anything a client expects a receipt for. Even when the payment is instant, the invoice is the record of what was performed and what a series has left on it.

How should a package or series be billed?

Charge the package up front as its own line, then issue a zero-balance invoice at each visit showing the credit applied and sessions remaining. Clients dispute series far less when the count is written down every time.

Where do retail products go?

On their own lines, below services, with tax handled separately — services and goods are usually taxed differently. It also makes it obvious how much of your revenue is retail, which is a number most independents underestimate.

Should the cancellation policy be on the invoice?

Yes, as a footer line, and on the booking confirmation too. A policy the client has seen twice before the appointment is one you can actually enforce without a confrontation.
